Information in your community will change over time.
Rules may be updated, links may change, services may be modified, new procedures may be introduced, and temporary information may expire.
Instead of creating another Knowledge Base entry containing the updated information, you should normally edit the existing entry to keep your Knowledge Base accurate and consistent.
When Should You Edit Knowledge?
Update an existing Knowledge Base entry whenever the information it contains is no longer completely accurate.
Common reasons include:
A URL has changed
A rule has been updated
A price has changed
Requirements have changed
A procedure has been modified
An event schedule has changed
A service has been added or removed
Instructions need clarification
A previous announcement is no longer valid
Members frequently misunderstand the existing information
Keeping your content updated helps prevent Novus AI from using outdated information.
Step 1: Find the Knowledge Entry
Open your Discord server from the Novus AI dashboard and navigate to the Knowledge Base.
Find the entry containing the information you want to update.
Before editing, review the entire entry rather than changing only the first value you notice.
Other sections may also depend on the information being changed.
Step 2: Update the Information
Edit the content that is no longer accurate.
For example, if your existing information says:
Registration closes on August 20.
and the official deadline has changed to August 25, update the existing information rather than creating another entry containing the new date.
This helps maintain one reliable version of the information.
Step 3: Review Related Information
Some changes affect more than one section.
For example, changing a service package may also affect:
Price
Package contents
Requirements
Duration
Restrictions
Purchase procedure
Frequently asked questions
Review the complete topic and update all affected information.
Avoid Keeping Old and New Information Together
Do not leave outdated information in the same entry unless members genuinely need historical information.
For example, avoid:
Old price: $10
New price: $15
if only the current price matters.
Instead, keep the active information clear:
Price: $15
Historical information can create unnecessary ambiguity when the AI generates a response.
Check Other Knowledge Entries
Before completing an important update, check whether the same information appears elsewhere in your Knowledge Base.
This is especially important for:
Prices
URLs
Dates
Times
Rewards
Requirements
Limits
Policies
Support procedures
If the old information exists in another entry, update it as well or remove the unnecessary duplicate.
Update Temporary Information
Temporary information should be reviewed frequently.
Examples include:
Events
Promotions
Maintenance schedules
Limited-time services
Temporary rules
Special rewards
Announcements
When temporary information expires, update or remove it so Novus AI does not continue presenting it as current.
Update Tentative Information
If you previously added tentative information and it later becomes official, update the entry.
For example:
Before confirmation:
The event is tentatively scheduled for August 30. The date is not final until an official announcement is published.
After confirmation:
The event is scheduled for August 30.
Removing the tentative wording once the information becomes official keeps responses clear.
Improve Unclear Knowledge
Editing is not only for factual changes.
You can also improve content when Novus AI frequently provides incomplete or confusing responses.
If members repeatedly misunderstand an answer, review whether the Knowledge Base itself is unclear.
You may need to:
Add missing context
Explain conditions
Clarify exceptions
Add a missing procedure
Improve section headings
Separate unrelated information
Explain what a link is used for
Small improvements can significantly improve AI responses.
Don't Change Facts to Fix AI Behavior
If the Knowledge Base information is already correct but Novus AI is responding in the wrong style or behaving incorrectly, the Knowledge Base may not be the right place to make the change.
Remember:
Knowledge Base controls factual information.
AI Instructions control general AI behavior.
AI Routing controls topic-specific handling.
Fallback behavior controls what happens when reliable information is unavailable.
Update the configuration responsible for the actual problem.
Review Before Saving
Before saving your changes, verify:
Is the updated information correct?
Has all outdated information been removed?
Are dates, prices, links, and numerical values accurate?
Are conditions and exceptions still correct?
Does another entry contain conflicting information?
Is the content still easy to understand?
Did the change affect another related procedure?
Is any tentative information clearly identified?
Once everything is correct, save the updated Knowledge Base entry.
Test After Editing
After making an important update, test Novus AI.
Ask questions related to both the changed information and the surrounding topic.
For example, if you changed a package price, test:
How much is the package?
What is included in the package?
How can I purchase the package?
This helps confirm that the updated information still works correctly with related questions.
Test Different Wording
Members may ask about updated information in different ways.
For example:
When does the event start?
What time is the event?
Can you give me the event schedule?
Test several realistic variations to confirm that Novus AI provides the current information.
Make Updates as Soon as Possible
If important community information changes, update your Knowledge Base as soon as the new information becomes official.
Leaving outdated information available can cause Novus AI to continue providing it to members.
This is particularly important for:
Payments
Prices
Rules
Events
Service availability
Account procedures
Important links
Support processes
Regular Knowledge Maintenance
Consider reviewing your Knowledge Base periodically even when no major changes have been announced.
Look for:
Broken links
Old announcements
Expired events
Duplicate information
Conflicting entries
Outdated procedures
Questions that frequently trigger fallback responses
Regular maintenance keeps your Knowledge Base useful and reliable.
Next Step
Sometimes information is no longer needed at all.
Instead of leaving outdated or irrelevant content available to Novus AI, you may need to remove it from your Knowledge Base.
