#1-Creating Knowledge

Learn how to create Knowledge Base entries in Novus AI, add useful community-specific information, and structure your content so your AI assistant can provide accurate and relevant answers.

Creating Knowledge

Creating Knowledge Base entries allows you to teach Novus AI about your community, services, rules, guides, procedures, and other information your members may ask about.

The quality of the information you provide directly affects how useful your AI assistant can be.

This guide explains how to create your first Knowledge Base entry and what you should consider when adding new information.

Step 1: Open Your Knowledge Base

Sign in to Novus AI and select the Discord server you want to configure.

Open the Knowledge Base section from your server configuration.

Your Knowledge Base contains the information available to Novus AI for that specific Discord server.

Step 2: Create New Knowledge

Select the option to create or add new Knowledge.

Enter a clear title that describes the information you are adding.

For example:

Account Registration

Server Rules

Download & Installation

Frequently Asked Questions

Payment Information

Troubleshooting Guide

A descriptive title makes your Knowledge Base easier to manage as it grows.

Step 3: Add Your Information

Enter the information Novus AI should know about the topic.

Write the content as clear factual information rather than only providing keywords.

For example:

Account Registration

Members can create an account using the registration page available on our official website. After successfully registering, use the created account credentials to access the supported services.

This gives Novus AI enough context to answer different questions related to registration.

Include Complete Information

Try to include the details a member would reasonably need.

If you create a Knowledge Base entry about downloading an application, for example, you may want to include:

  • Where to download it

  • Available download options

  • Installation instructions

  • Required files

  • Common installation problems

  • Where to get additional assistance

The exact information depends on your community.

Use Sections for Longer Content

For larger Knowledge Base entries, divide the information into clear sections.

For example:

Download & Installation

Full Client Download

Information about downloading the complete client.

Manual Patch

Information about downloading and installing a manual patch.

Installation

Instructions for installing the client.

Common Problems

Solutions for common installation problems.

This makes the information easier to maintain and understand.

One Topic or Multiple Topics?

You do not need to create a separate Knowledge Base entry for every individual sentence.

Related information can be grouped together when it belongs to the same topic.

For example, registration requirements and registration instructions can reasonably exist in the same entry.

However, unrelated information should usually be separated.

Avoid creating one extremely large entry containing your entire community's information.

A better structure might be:

  • Server Information

  • Account Registration

  • Download & Installation

  • Rules

  • Services

  • Events

  • Technical Support

  • Frequently Asked Questions

This keeps your Knowledge Base organized.

Write Answers, Not Just Questions

Avoid creating entries containing only possible questions.

Instead of:

How do I register?

Where is registration?

Can I create an account?

Provide the actual information:

Account Registration

Members can create an account through the official registration page. Follow the instructions on the page to complete the registration process.

Novus AI can understand different ways members may ask about the same information.

Add Important Links

If members need a specific website, Discord channel, documentation page, or other resource, include the correct link or reference in the Knowledge Base.

Make it clear what the link is used for.

For example:

Registration: Use the official registration page to create a new account.

Avoid adding unexplained links without context.

Preserve Exact Information

Some values should remain exactly as provided.

Examples include:

  • Commands

  • Discord channel mentions

  • Discord role mentions

  • User mentions

  • URLs

  • Product names

  • Service names

  • File names

  • Technical values

Make sure these values are entered correctly.

Clearly Identify Conditions

If information applies only under certain conditions, include those conditions.

Instead of:

Members receive a reward.

Use:

Members who complete the required event objective are eligible for the listed reward.

Clear conditions help prevent Novus AI from applying information incorrectly.

Clearly Identify Tentative Information

If information is not yet final, state that clearly.

For example:

The planned event date is August 30, but this date is tentative until an official announcement is published.

This helps prevent tentative information from being presented as confirmed.

When the information becomes official, update the Knowledge Base entry.

Avoid Adding Instructions for AI Behavior

Knowledge Base entries should primarily contain information.

Rules about how the AI should behave usually belong in AI Instructions or AI Routing.

For example:

Do not guess prices if they are unavailable.

This is an AI behavior instruction.

Meanwhile:

Premium Package — $10 per month

This is factual Knowledge Base information.

Keeping behavior and factual information separate makes your configuration easier to maintain.

Review Before Saving

Before saving a Knowledge Base entry, check:

  • Is the information accurate?

  • Is the title clear?

  • Is the content understandable?

  • Are important links correct?

  • Are prices and numerical values correct?

  • Are conditions clearly explained?

  • Is any information outdated?

  • Does another entry contradict this information?

  • Does the content contain anything private that should not be available to the AI?

Correct any problems before publishing or enabling the Knowledge Base content.

Save Your Knowledge

Once the information is ready, save your Knowledge Base entry.

The information can then become available to Novus AI when processing relevant member questions according to your server configuration.

Test the New Knowledge

After saving, test the information by asking Novus AI realistic questions.

For example, if you created an Account Registration entry, try:

How do I register?

Where can I make an account?

Can you give me the registration information?

Do not rely only on the exact wording used in your Knowledge Base.

Real members may ask the same question in many different ways.

If Novus AI Cannot Find the Answer

If the information exists but Novus AI does not answer correctly:

  1. Review whether the Knowledge Base entry clearly explains the answer.

  2. Check for conflicting or outdated information.

  3. Make the important information more explicit.

  4. Review the relevant AI Route if routing is being used.

  5. Save your changes.

  6. Test the question again.

Avoid immediately duplicating the same information in several entries, as this can make your Knowledge Base harder to maintain.

Build Your Knowledge Base Gradually

You do not need to create every possible Knowledge Base entry immediately.

Start with the questions your members ask most frequently.

When new questions appear, determine whether the answer should be added to your Knowledge Base.

This allows your Knowledge Base to grow based on the actual needs of your community.

Next Step

Creating Knowledge is only the beginning.

How you write and structure the information can significantly affect how useful it is to your AI assistant.
